The Anthony-Hairston Family Reunion Bylaws

ARTICLE I - NAME
The name of this organization shall be The Anthony-Hairston Family Reunion.
ARTICLE II - PURPOSE
To promote family unity and continuing fellowship of all Anthony-Hairston and extended family
by the power of the Holy Spirit. “Love Will Keep Us Together”, through family reunions and
related activities and documenting the history of the Anthony-Hairston family, from its origin to
present generations.
ARTICLE III - MEMBERSHIP
Membership in the Anthony-Hairston Family Reunion shall be open to all persons related to the
Anthony-Hairston Family. A member in good standing should attend family reunions and business
meetings and be current on their dues.
ARTICLE IV - OFFICERS
The officers of the Anthony-Hairston Family Reunion shall be a President, Vice President,
Secretary, Treasurer, Sergeant at Arms, Chaplain, and Historian, as elected by the general
membership majority vote. Hereafter, along with members present at meetings, referred to as
the Committee.
Their duties shall be as follows:
President -
Shall preside over all meetings of the Anthony-Hairston Family Reunion and should
communicate with national officers, Chapter Presidents, and Committee Chairs. He/she shall
also perform other functions and duties as may pertain to the office of the President.
Vice President –
Shall chair committees of special projects as designated by the President.
He/she shall serve in the compacity of President in his/her absence.
Secretary -
Shall keep a record of the proceedings of the business meetings and shall be responsible
for preparing thank you notes, sympathy cards, and special recognitions. He/she shall perform
other such duties as may pertain to the Secretary.

Treasurer -
Shall collect and document all membership dues, record all financial expenditures,
and perform other such duties as may pertain to the office of the Treasurer, including providing
periodic financial reports to Anthony-Hairston Family Reunion members
Sergeant at Arms –
Shall keep order in meetings and perform administrative tasks, such as
collecting ballots, tallying votes, and recording attendance.
Chaplain –
Shall open and close each meeting with a prayer and shall officiate the Sunday
morning service in the absence of a speaker.
Historian -
Shall research, document, and maintain the history of the Anthony-Hairston family
from its origins to present generations.
ARTICLE V - ELECTION OF OFFICERS
Election of Officers shall be held at the business meetings of the Anthony-Hairston Family
Reunion every three years. Officers shall be elected by a majority vote of those in attendance
by written ballot or by voting online when applicable. Any vacancies during the interim
between business meetings shall be filled by the Committee.
ARTICLE VI– ANTHONY-HAIRSTON FAMILY REUNION DUES
Payments of annual dues are for the Anthony-Hairston Family Reunion. Dues shall be paid at
the time of the annual reunion, in person, by mail, or electronically. The Committee shall
determine the expenditures of dues.
The amount of the dues will be determined by a majority vote of the Committee.
The chairperson of the Finance Committee, in conjunction with the Treasurer, shall be
responsible for maintaining an accounting of the annual Anthony-Hairston Family Reunion
dues.
ARTICLE VII- FINANCE
The finances of the Anthony-Hairston Family Reunion shall be accounted for under a budget
system.
No officer, committee, committee member, or member of the Anthony-Hairston Family Reunion
shall receive any funds or incur any expense for the Anthony-Hairston Family Reunion not
provided for in these bylaws unless authorized in writing by the President, with the concurrence of
the Committee. No person shall make any payments except for expenditures that have been
so approved. Funds for incidental expenses associated with these meetings (i.e., mailings, meeting facilities,
etc.) shall be provided by the Anthony-Hairston Family Reunion or as determined by the Committee.
ARTICLE VIII - FAMILY REUNION
A reunion of the Anthony-Hairston family will be held annually, preferably in July or August.
The reunion host Chapter will be determined no less than two years in advance. The intended
reunion location will be provided by the host chapter at the passing of the baton, with specific
details for the reunion provided as they become available.
ARTICLE IX (A) - BUSINESS MEETINGS
A business meeting shall be held on Saturday morning during the annual reunion or at such time
as determined by the Committee at the annual family reunion. These family business meetings
are open to all members of the Anthony-Hairston family in good standing. All other meetings
(committee meetings, social events, etc.) do not constitute business meetings. Final decisions
on issues brought to the business meeting shall be passed by a majority of members present or
online at the business meeting.
ARTICLE IX (B) - COMMITTEE MEETINGS, SOCIAL EVENTS, ETC.
During family reunions or periods between, members of committees, chapters, and all other
interested Anthony-Hairston Family members may meet at a location or online as agreed upon
by those parties to discuss, plan or resolve issues related to the management, operation
and/or administration of any auxiliary committee, social event, function, etc... of the Anthony-
Hairston Family Reunion.
ARTICLE X – ESTABLISHING CHAPTERS
In order to establish a new chapter, prospective hosts must be residents of the city the chapter
will be in. There must be at least three officers (1.) President (2.) Treasurer (3.) Secretary in
place to establish a chapter. There is a minimum of a one-year probationary period after the petition
is granted by the Committee.
A Grand Majority vote is needed to establish all new chapters.
Funds for incidental expenses associated with these meetings (i.e., mailings, meeting facilities,
etc.) shall be provided by the Anthony-Hairston Family Reunion or as determined by the
Committee.

ARTICLE XI - RATIFICATION
All new bylaws shall become effective at the annual reunion meeting upon affirmative votes by
a majority of members of the Anthony-Hairston Family Reunion. Copies of new bylaws will be
presented to the Anthony-Hairston Family members and ratified upon review.
Upon ratification and effectuation of bylaws, the Anthony-Hairston Family Reunion will officially
be organized for family fellowship and continuity.
Revisions and additions to any bylaws are to be submitted to and reviewed by the Committee,
presented in writing to the members of the Anthony-Hairston Family Reunion and voted on by
the members at the business meeting of the annual family reunion.
ARTICLE XII - AMENDMENTS
These bylaws may be amended by a Grand Majority vote of members in good standing.
Travel expenses associated with attending these meetings will be borne by individual members
attending the meeting. Funds for incidental expenses associated with these meetings (i.e.,
mailings, correspondence, etc.) may be provided by the Anthony-Hairston Family Reunion, only
if determined by the Finance Committee.
ARTICLE XIII – VOTING DEFINITIONS
The Majority -
Shall mean greater than fifty percent (i.e., 51% and greater) of those members
casting a vote, present or online at the meetings.
Grand Majority -
Shall mean greater than two-thirds (i.e., 67% and greater) of those members
casting votes, present or online, at the meeting.
Quorum -
Shall mean one-third (1/3) of the active members of the Anthony-Hairston Family
Reunion. The chairperson of the Membership Committee shall be responsible for maintaining
an accounting of active Association membership.

ARTICLE XIV - APPROVAL
We, the Members of the Anthony-Hairston Family Reunion, do hereby subscribe to these
articles, and in accordance with the wishes and desires of the full membership of The Anthony-
Hairston Family Reunion, and by our signatures, establish the Anthony-Hairston Family Reunion
Bylaws.
